NDTA Events App
The NDTA Events app is the “must-have” tool for attendees and exhibitors at NDTA national events to view the agenda, engage in Q&A during general sessions, network with attendees, book meetings in the Expo Hall, take surveys, post photos, and more! Explore the user guide below to start making the most of your event experience.
Please note that the screenshots may not display the specific event you are attending. They are generic so no worries if the event you are attending is not appearing on the screens shots. They same steps apply regardless of event name of date.
Getting Started
Downloading the App
Downloading the free app requires an Android or iOS device.
- In your device’s app store, search for “NDTA Events” and download the app.
- To ensure you receive important updates throughout the event, select “Allow” on the screen that reads “NDTA Events – Would Like to Send You Notifications.” If you do not select “Allow” you must return to adjust your device’s settings after logging into the app to receive NDTA Events app notifications. (Android users may not always see this message.)
- If you have used the app at other NDTA events, and it is already downloaded, select the event you are attending (no event code is required).
Logging In
Once you have downloaded and opened the app, you will be prompted to sign into your account.
- Enter the same email address you provided to register for the event you are attending. If you entered an alternate email address during registration, use your alternate address.
- The app will send you an email with an OTP code.
- Enter the OTP code to log into the app.
- You will be prompted to accept the Terms of Services & Privacy Policy.
- Select the event you are attending. (No event code is required.)
- If you cannot log in, send an email to events@ndtahq.com or visit the NDTA Help Desk during the event.
Request or Receive Meeting Invitations at Select Expo Booths
For Attendees
1. Tap the Exhibitor List icon on the Home page in the app.

2. Scroll to the organization booth name and tap the organization name. If the organization you tap is accepting meeting requests you will see a people icon just below the organization name at the top of the screen. Tap the people icon and tap a booth admin name with (Meeting Contact) to request a meeting.


3. Tap Request Meeting.

4. After tapping Request Meeting, you will land on a calendar screen. You can advance to the meeting month from the top line of the screen. Once you land on proper month, tap New Meeting at the bottom of the screen.

5. Available meeting request slots/times on the app automatically adjust to display in the user’s device time zone, not in the event’s fixed time zone (CDT).
Links to updated event request-a-meeting times will be updated 30 days pre-event right here.
Available meeting times will appear in a list form for individual dates. To see meeting times on different dates, advance the calendar using the white arrow > at top of screen. Available meetings times show in bold black text. Grayed out times slots are not available. Tap the preferred meeting time slot.

6. The next New Meeting screen will recap the requested meeting date, time, attendee names, booth location and the description field. You can send a note from the description field to the representative you are meeting with, but it is not required. After reviewing the meeting detail, tap Book Meeting at bottom of the screen.

7. A green notification will pop up that says meeting saved successfully. You will be notified 15 minutes before the meeting starts. After the green notification disappears from your screen, under the My Sessions section of My Profile, a list of all requested meetings will display under the month of the event.

8. The meeting is not officially confirmed until the booth admin accepts your meeting request. There are 2 ways to determine if your meeting request has been accepted.
A) Tap the Event Wall icon at the bottom right of your screen. A notification will appear from the booth admin that accepts or rejects your request to meet.

B) Tap the My Profile icon located at the bottom of the screen and tap My Sessions.

9. In the next screen, advance the date line at the top to Oct. ‘25. A list of your requested meetings will appear. Tap a requested meeting to determine if the representative accepted (green circle) or if the meeting request is still pending (yellow circle).


For Exhibitors

NEW: How to receive, accept or decline an attendee’s meeting request at your booth during expo hours.
If your organization has purchased the Lead Retrieval Tool, attendees can request a 15-minute meeting with any of the admins at your expo booth per the schedule below. Booth admins will be notified of requests for a meeting and must Accept or Decline the meeting request before it becomes definite. If you prefer not to have this functionality turned on for your booth, please notify events@ndtahq.com.
- Below is the schedule for expo booth meeting time slots.
- 30 days prior to the event start date, NDTA will provide registered attendees the NDTA Events app instructions, including how to request-a-meeting with you at your booth. Your organization must have purchased the lead retrieval tool in order to be able to receive and accept meeting invites at the time slots below.
All Booth Admins who were named in the Lead Retrieval order form will be able to Accept or Decline meeting invitations from attendees.

1. To see who the named booth admins are, tap the Exhibitor List from the Home screen.

2. The next screen will show your organization booth at the top of the screen under “My Booth.”

3. Tap your organization name and then tap Modify Details on the next screen. You can also select View as an Attendee to see how the attendee walks through the process of requesting a meeting.

4. The next screen will show your organization administrator page. Scroll to the bottom of this page to the Admins section for a list of your organization’s administrators. If a registered attendee from your organization is not listed, you can add them by typing their email address in the Admin Email Address field, tap Add, and tap Save.

5. How will I know if I have received a meeting request from an attendee? You will see a gray notification pop-up that shows the attendee name “(i.e.: Tom Smith) invited you for a meeting. Tap here to View and Accept.”

If you miss the pop-up notification, there are two other locations you can view your requests for meetings.
A) Tap the Event Wall at the bottom right of the screen. All requests for meetings will display here. You can view the attendee request that has not been responded to as well messages that indicate you have Accepted or Declined from the Event Wall. Once you Accept or Decline, the attendee will be notified of the response.

B) Tap the My Profile icon located at the bottom of the screen and select My Sessions.

6. In the next screen, advance the date line at the top to the month of Oct. ’25. A list of all requested meetings will appear in a list form. Tap a requested meeting date and time to determine if you accepted (green circle) or if the meeting request is still pending (yellow circle).
In the next screen, a list of all meeting requests you have received will appear in a list form. Tap the date and time of the request to view the Accept or Pending status. After selecting the date and time, you will see an Attendee section. If the meeting was already accepted by you, it will display a green circle next to the attendee names; if it is still pending, a yellow circle will display.

7. To Accept a meeting request, tap Accept.

8. To Decline a meeting request, tap Cancel.

Upon tapping Cancel you will have 4 options:

1) Report Spam and Block User – do NOT select this option unless you wish to block this attendee from sending any meeting requests to you for the duration of the event.
2) Opt-Out of All Meetings – do NOT select unless you do not want to schedule individual attendee meetings at your booth. Once selected no attendee will be able to request a meeting with you at your booth on any date or time in the schedule. If you do not want to schedule meetings at your booth, we recommend you ask one of your booth admin colleagues to send you a meeting request ahead of the start of the event and select the Opt-Out of All Meetings option. This will still allow you to use the lead scan tool at the booth for tracking leads, but attendees cannot book a meeting with you at the booth.
3) Not Interested – If you select this option the attendee will be notified that you have declined. When you decline a meeting the date and time will remain open for others to request a meeting.
4) Dismiss — If you select Dismiss, the meeting will remain in the pending status. We suggest leaving the request in pending status if you do not have availability during that time slot. You could receive multiple pending requests and decide to select one later on and decline others.
Lead Scan Retrieval for Exhibitors
How do I use the Lead Scan Retrieval Tool?
- After downloading the NDTA Events app to your personal cell phone, find and tap the Exhibitor List icon on the Home screen.
- When the list opens, your organization’s name and booth # should appear at the very top of the list under “My Booth”
- Tap your organization’s name. You will see a gold button at the bottom labeled Lead Scan. Tap “Lead Scan”
- The next screen will show a “Scan Contacts” button at the bottom. Tap the button to be able to scan attendees’ QR codes from their badges or their NDTA Events App.
- When a contact’s QR code is scanned it will appear on the next screen. From that screen you can label contacts as hot, warm, or cold leads, take notes, and then tap the Save button at the bottom of the screen to save the contacts to a master organization lead list.
- After saving the contact, the screen will return to the “Scan Contact” screen and show a list of all contact leads scanned.
- On the top right-hand side of the Scan Contacts screen there is a downward facing arrow that can be tapped to download all contacts and send via email as an excel spreadsheet.
- The contact list and ability to download will be available up to 60-days post event.
- If you need to add or delete administrators from your organization, you can do so independently from the admin portal. To get to the admin portal click here. After opening the link or scanning the QR code you will be asked to enter your email address, and an OTP code will be returned to you via email that you enter in the app. Once you are on the Manage Booth screen, scroll down to the Admins field and start to type the name of the admin you would like to add, or if you are deleting an Admin, simply tap the X next to the Admin name already there.
Frequently Asked Questions
Where can I find the Agenda and Transportation/Travel Academy Schedule?
- Tap the Agenda icon at the bottom of the screen in the blue navigation menu.
- Tap on an Academy session to view classes scheduled during that timeslot.
How can I create my own schedule?
In the Agenda, select the session you wish to attend, then RSVP by selecting Yes next to Remind Me.
- To view your custom schedule, visit My Profile and choose My Sessions.
- You can also view all sessions you have RSVP’d “Yes” to by selecting the My Sessions button tab in the Agenda.
- If you have enabled notifications for the NDTA Events app, you will receive a 15-minute reminder app notification before any session you have RSVP’d “Yes” to.
How do I sort the agenda by track or session type?
Tap the filter button, select the track(s) you would like to view, and tap Apply.
(Please note that if you have selected My Sessions, only sessions you have RSVP’d “Yes” to will appear, and that the location of the filter icon varies between iOS and Android devices. On iOS devices, the filter icon is in the top right corner. On Android devices, it is in the bottom right corner.)
How do I submit a question for Q&A during a Keynote/Roundtable session?
Tap the Agenda in the blue navigation bar and select the session for which you would like to ask a question. At the top of the screen, tap the encircled question mark. Type your question in the text field and tap the arrow to submit.
How do I display and share my QR code?
On the Home page or My Profile, tap My QR code.
I don’t see my name and info in the Attendees section. How can I add it?
If your name does not appear in the Attendees list, it means you did not give NDTA permission to share your info when you registered for the event. To share your name and contact info, select My Profile in the blue navigation menu at the bottom of the screen. Select Edit Profile. Under Show in Directory, change the response from No to Yes.
How can I connect with other attendees?
There are several ways to connect with other attendees through the app:
- Search for an attendee using the search bar at the top of the Attendees page. Then tap the attendee’s name and select Chats to send a message through the app.
- You can also search for attendees by Company name. Tap the filter button on the top right of the page and enter the Company name in the Company field. Select Apply at the top right of the page. (To remove filters, tap Clear Filters, then Apply.)
- To start a new chat with an individual or a group, select the Chats icon on the blue navigation menu and tap “New Chat” or the plus (+) button.
- Scan an attendee’s QR code by visiting My Profile and tapping the Scan button to add to My Contacts.
Where can I go to share photos and post updates from the event?
Visit the Event Wall, found in the blue navigation menu at the bottom of the screen. Tap the plus (+) button to start your post. Posts on the Event Wall are visible to other attendees.
Where can I go to complete event surveys?
The Survey Details folder can be found on the Home page of the app. Survey links and instructions will be posted there close to the event start date. NDTA will also send notification reminders with survey links throughout the event. We appreciate your participation in the surveys so we can continue to improve NDTA events for years to come.
